Sign in once — your password is never stored
Your admin signs in with your existing RoundSys username and server region, once. The password is used only to open the session and is then discarded — CareOS keeps only an encrypted, short-lived session token.

Deeper history
The attached PDFs cover the last three months of care notes and twelve months of MAR history. If you need older records for your retention period, export them from RoundSys before closing the account — we cover this on your migration call.
Files uploaded into RoundSys
Documents uploaded into RoundSys aren't copied across — download and re-attach anything you still need. The three generated history PDFs are attached automatically.
Ended medications
Medications that have ended don't join the live list — they remain visible in the attached MAR chart PDF, so the history isn't lost.
Staff records
Staff aren't copied across as data. Your team is set up through CareOS recruitment and compliance, so right-to-work, training and documents start verified rather than inherited.
Switching from RoundSys — common questions
What happens to our care notes and MAR history?
The last three months of care notes and a twelve-month MAR chart are generated as PDFs and attached to each resident's record in CareOS, alongside the full care plan verbatim — so recent history is readable on day one. Older history stays in RoundSys; export what you need for retention before closing the account.
Are medications safe to import?
Only medications that are active in RoundSys are imported, with schedules and PRN flags, and each one carries an instruction to verify it against the MAR before it's administered. Anything the importer had to infer — like a route it couldn't read — is flagged for your review rather than silently assumed.
Do we lose our CQC history when we leave RoundSys?
No. Your current records move into CareOS, and your historical audit trail remains in RoundSys — care records have multi-year retention requirements, so before you close the account, export anything you're required to retain. We walk through exactly what to export on your migration call.
How long does moving from RoundSys take?
Most providers are live within days, not weeks. The import itself typically runs in hours; the rest of the time is your team reviewing the migrated records and choosing a switchover date that works for your rota.
