Move from OnCare to CareOS — free, managed, days not weeks
Our purpose-built OnCare importer reads your data directly and our team handles the whole move — full client profiles, key contacts, communication logs, risk assessments and care plans — with nothing going live until you've reviewed it.
What moves from OnCare
This is exactly what our OnCare importer brings across — no more, no less. Everything below is read directly from your OnCare account and checked with you record by record.
Clients & complete profiles
Every active client with identity, NHS number, address, allergies, medical history, preferences and routines. Every field of the OnCare client record has a mapped destination in CareOS — enforced by an automated coverage check in the importer itself.
Key contacts
Key contacts come across typed as family, next of kin or professional, with phone and email extracted and the first contact flagged as primary — mirrored to the emergency-contact record carers see.
Communication log
Your communication log arrives as client notes with the original author and timestamp preserved, and OnCare's shared-with-carers flag respected.
Risk assessments
OnCare risks arrive as a draft risk assessment with likelihood, severity and scores carried across, ready for your team to re-classify and sign off.
DNACPR & ReSPECT records
DNACPR and advance-care-plan details carry across as consent records on the client, with a prompt to verify and re-attach the original signed forms.
Care-plan narrative
Care outcomes, daily routines, medication information and the emergency plan arrive as a draft CareOS care plan for your team to structure and activate.
Sign in once — your password is never stored
Your admin enters your OnCare email and password, once. They're used only to open a session with OnCare — the password is discarded immediately, and the session itself expires after two hours.
How the switch works
Migration is the biggest reason providers stay stuck on software they’ve outgrown. So we take the whole job off your plate.
Share your access
Grant our team access to your current system — or send us exports. Purpose-built importers for common UK systems, plus spreadsheet and document imports with AI extraction, do the heavy lifting.
We migrate your records
Our team maps and imports your data, and checks it with you record by record. Imported care plans arrive as drafts for your sign-off, and every imported medication is flagged for verification against your MAR.
Go live in days
Most providers are live within days, not weeks. Your team reviews everything before switchover, and your old system stays untouched while you check.
What stays behind — honestly
An honest migration is a safe one. Here's what the OnCare importer deliberately doesn't move, and what to do about each.
Medications — rebuilt, not blind-copied
Medications aren't auto-imported from OnCare. Your eMAR is set up fresh in CareOS with every drug, dose and time entered and verified by your team — because a MAR is safety-critical, and OnCare's export mixes dosage and administration notes together.
Uploaded documents
OnCare doesn't include uploaded documents in its exports, so client files need downloading from OnCare and re-uploading to CareOS after migration. We flag this in your migration plan so nothing is forgotten.
Visit history, schedules & staff
Visit history and schedules stay in OnCare as your legacy audit trail, and staff are set up fresh through CareOS recruitment and compliance rather than copied across.
Agency-defined custom fields
Custom fields aren't auto-imported — anything important is copied by hand during review, so your team decides what carries forward.
Switching from OnCare — common questions
Why aren't medications copied across automatically?
Deliberately. OnCare's medication data mixes dosage and administration notes in one field, and a MAR is safety-critical — so rather than blind-copy it, your eMAR is set up fresh in CareOS with every drug, dose and time verified by your team as part of the managed migration.
How complete is the client profile import?
Every field of the OnCare client record has a mapped destination in CareOS, enforced by an automated coverage check inside the importer — structured fields land in structured fields, and narrative lands in clearly labelled notes. Nothing is silently dropped.
Do we lose our CQC history when we leave OnCare?
No. Your current records move into CareOS, and your historical audit trail remains in OnCare — care records have multi-year retention requirements, so before you close the account, export anything you're required to retain. We walk through exactly what to export on your migration call.
How long does moving from OnCare take?
Most providers are live within days, not weeks. The import itself typically runs in hours; the rest of the time is your team reviewing the migrated records and choosing a switchover date that works for your rota.
What does the migration cost?
Nothing — migration is free with every CareOS plan, and it's handled by our team rather than left to yours. CareOS itself is priced on a tailored quote for your service; talk to us and we'll put one together.
